Writing is a skill that starts way long before you put the content on a paper or a web. The content can be in various tones and styles depending on the topic. The tone to use in a business report is not the same tone that you would use while writing a friendly mail or a job application. Writing tone may be full of humor, elegance or may be conversational. The words used in writing are the carriers of the message being passed and therefore the correct words, well spelled and grammatically right must be adhered to. For quality writing, there are principles to guide the writer for a fully finished final product that must impress and meet the readers need. They are commonly known as the 5 C’s of writing as follows and without them, there would be no structure in the writing process.
Clear
While writing, the purpose and the intention should be objectified in the content. A long article without a specific intention or target is no doubt not be understandable and may only be boring to the reader. The language used should be clear to the widest possible audience even those outside your industry. Get an objective person to read the content. If it is not clear to them, it may not be clear to the audience.
Concise.
A properly written content should be short and direct to the point. Some writers have a habit of over writing by using long meandering paragraphs while a few words would have been fit to bring the message home. Properly researched content gives a writer an easy time to write down briefly.
Courteous.
While some content may be done generally, most are done to reach a specific audience. Therefore, words should be used thoughtfully towards the audience. Kind and respectful words should be used while writing a business letter. The content should be sensitive to the concerns and the needs of the reader. No emotions should be detected by the reader from the tone used especially while responding to a disappointment. For example a rejected job application.
Correct.
Use of Properly spelled and grammatically correct words is very important especially in this generation of too much competition writing on the Internet. The quality of the content determines whether a reader may go on reading or just move forward to look for a properly done content. Before publishing, thorough proof reading and editing should be done to avoid simple errors that give your content poor rating.
Consistent.
A writer should decide on their personal standard or the organisation they write for and stick to it. So many errors in a single document may be offensive to the reader painting a picture of a sloppy writer. Inconsistency in the style of writing phone numbers or formatting shows a writer who was not prepared or serious with their content.
A complete and well written content should bring all the writing principles together so as to give structure to the content. A well outlined summary to define the outer edge of the project involved should be include. The content should be properly organised to ease reading by the audience.
