Assignment
Create an inquiry using text organized with all the elements of an email (Date, To, From and Subject) to the mayor of Paradise, inviting her to attend and speak at the ceremony. Arrange everything so it looks like it would if you printed out the email.
Taking a formal approach, start with a salutation similar to a letter and a brief self-introduction and background as the first paragraph. (By brief, I mean about four sentences.) Also introduce the event and the date and time.
In the second paragraph, ask the mayor to attend and speak at the ceremony. Make sure the first sentence of the paragraph is a question. Follow it up by explaining how you feel the mayor’s presence and contribution would benefit the event your company has planned. (This should be another three sentences or so.)
For the third paragraph, include a brief conclusion (two sentences), with one of them setting a polite deadline for you to hear back from the Mayor. Close (again, as in a letter) with your full name and job title at XYZ Sign Co.
Remember to use a formal style (not casual or informal) and do not copy my wording too closely. Please change the wording and phrases to make them your own writing.
The assignment is to be single-spaced, as are all written assignments for the course.
Scenario
You are the office manager of XYZ Sign Co. in Paradise, Ohio. Over the past decade, several businesses have relocated from Paradise to other cities. Recently your company completed the installation of enough solar panels on the roof of its office/manufacturing facility to supply the company with all the electricity it needs for XYZ to do its work, plus enough extra electricity (which is returned to the grid) to power 1,000 average homes in the surrounding area. The cost for the installation was significant, and demonstrates that XYZ has as much a commitment to keeping its business located in Paradise as it does for the environment.
The president of XYZ feels that the investment the company has made is locally newsworthy. XYZ is planning a media event for the unveiling of its refurbished office/plant, and among those to be invited is the city’s mayor, the Honorable Tonya Hughes. The opening ceremony is scheduled for September 25 at 10:00 am. The ceremony is intended to last 30 minutes, and XYZ’s president is hoping that the mayor will speak for 5-10 of those minutes.
