The ticket resolution process in the customer support system at my family company regularly faces delays and inefficiencies as a result of the lack of automation, inadequate prioritization, and insufficient interdepartmental communication. Consequently, this results in decreased efficiency in addressing customer inquiries, heightened consumer discontent, and a greater burden on support personnel. Enhancing this process would optimize both customer satisfaction and business efficiency.
Functional Specifications for the Enhanced System:
Automated Ticket Categorization: The system is required to automatically classify incoming support tickets using keywords and established criteria to ensure their proper routing to the relevant department.
Order of Importance: The system must allocate a priority level to each ticket according to the severity of the issue and the customer’s profile, guaranteeing that urgent concerns are dealt with swiftly.
The system is required to deliver instantaneous status updates to both consumers and support agents, encompassing notifications for any modifications in ticket status.
Inter-Departmental Communication: The system should enable smooth communication among several departments by permitting the transfer of tickets and providing shared access to ticket histories and notes. The system is required to produce comprehensive performance reports that encompass parameters such as response times, resolution times, and customer satisfaction. These reports serve the purpose of identifying areas that need improvement and monitoring the overall efficiency of the system.

Current Process
The way that information flows down to our cargo deployment function ending in the cargo deployment function having to completely re do all of the user’s paperwork when it could have been adjusted prior to reaching the cargo yard causing major delays in aircraft departures.
As-Is Process:
-user request for air lift through airfield management
-approval then gets sent back to user to proceed to request transit of cargo from IDRC
-IDRC approves transit of cargo and informs user to have all paperwork ready
*Note most users don’t know what to provide or how to properly fill it out
-IDRC schedules movements to occur without 48-hour notice.
-Day of transit user arrives to cargo yard with cargo and paperwork.
-paperwork is reviewed, discrepancies are found, and user is notified
-Users no longer have access to their paperwork to update which delays aircraft.
-Cargo cannot move to ready line until cargo deployment function has completed full inspection. If paperwork is wrong and cannot be fixed the personnel in the cargo deployment function have to correct all discrepancies.
This shows that the biggest issue is that IDRC is not giving proper information upon the request for cargo movement. The users are not receiving the proper channels of contacts to make sure all their information and paperwork is right before the transit of their cargo even begins.
The five function requirements
-The user must provide a knowledgeable representative for all processes.
-The user must request contact information within a 48-hour window of their cargo to transit. Contacting POC (point of contact) at the cargo deployment function within 48 hours IDRC approval.
-The IDRC must notify cargo deployment function once initial request is received to transit cargo for airlift. IDRC must verify with user that any and all paperwork is created.
-The user must have all paperwork preapproved by cargo deployment function 24 hours prior to cargo transit to cargo yard.
-The user must provide POC during cargo inspection to fix all discrepancies. Allowing for smooth transition and no delays.

As a Combat Medic Corpsman, I must do a couple of clinical days in Garrison, scheduling, triaging, intaking, and diagnosing patients; our Appointment Scheduling system is one bottleneck we have in our daily clinic operations. While most of the military uses an automated patient-centric approach to patient care, here in the Marine Corps, for both the lack of funds and oversight, we are still in the 20th Century, so for my process improvement project, I will overview our Patient Appointment Scheduling system, and provide suggestions and areas of improvement to make the day to day workload more efficient.
Process: Patient Appointment Scheduling System
Currently, manually scheduling patients in our clinic has proven inefficient, with long waiting times, double bookings, and patients missing appointments due to a lack of closed-loop communication between the clinic and the patient. Implementing an automated scheduling system can improve patient satisfaction and reduce the administrative workload, allowing us to focus more on improving patient care.

Requirement: The system must allow patients to book, reschedule, and cancel appointments online through a web portal or mobile application.
Reason: To provide convenience to patients and reduce staff’s need for phone calls and manual scheduling.
Automated Reminders:
Requirement: The system must send automated reminders to patients via email and SMS 72 hours and 24 hours before their scheduled appointments and allow them to reschedule or cancel them.
Reason: To reduce the number of missed appointments by reminding patients of their upcoming visits.
Real-Time Availability:
Requirement: The system must display the real-time availability of doctors and appointment slots for patients and staff.
Reason: To prevent double bookings and ensure accurate scheduling.
Patient Information Integration:
Requirement: The system must integrate with Genesis, the DHA’s Electronic Health Record (EHR) system, to auto-populate patient information during the appointment booking.
Reason: To streamline the booking process and ensure that patient records are up-to-date.
Reporting and Analytics:
Requirement: The system must generate weekly and monthly reports on appointment statistics, including no-shows, cancellations, and average wait times. These reports will also be forwarded to the Command.
Reason: To provide clinic management with insights into appointment trends help identify areas for improvement, and allow for the Commanding Officer to allow individuals to honor their medical appointments and be medically ready and in deployable status.

Performance requirements are the benchmarks that define how well a system executes specific functions. They’re often categorized as non-functional requirements, meaning they focus on how the system works, rather than what it does. Performance can be compared to the gauges on a car’s dashboard. It tells you how quickly the system can respond to user actions (response time), how much data it can handle (throughput), and how well it maintains its responsiveness under pressure (scalability).
Performance can be a crucial factor during MTC’s hiring process. Their priorities include reducing hiring time by quickly providing status updates on applicants and implementing a system that can grow and provide more capabilities in the future. In this case, high-throughput performance would be important because it measures the ability to process a huge amount of volume within an allotted timeframe. Since the company is expecting to receive a high number of applicants, analysts need to measure how quickly the software can deliver what the user requested. In addition, performance requirements can evolve at any time. Therefore, performance would establish the target level of service needed.

Security
Though security is not listed amongst the System Performance Requirements in the Week 5 reading I am glad it is an option to choose because the security of the proposed information technology system is integral to the success or failure of MTC.
The integrity of the data is just as important as the protection of the user’s personal information as the leak of which could spell serious legal ramifications for MTC both in the states and worldwide as they grow their business internationally. For one thing, the General Data Protection Regulation (GDPR) applies to companies that process data of both EU residents and it includes companies inside and out of the EU (Bika, 2023).
Security in terms of the information technology systems incorporates three major components- confidentiality, integrity and availability. Integrity is important as the information presented and held by the system must be accurate and “represents what was intended”. Availability ensures that the information contained in the system is accessible by authorized users within an “appropriate time frame.” And in regards to confidentiality, it is imperative that not everyone is allowed to see the information within the system and only those authorized to do so have access by having a strict authentication policy.

Data Backup and Recovery
Data backup and recovery ensure copying and restoring data if it gets lost or corrupted. The Week 5 readings on “Requirements” and “Developing Requirements for an IT System” highlight that these processes are essential for ensuring information remains secure and accessible (Requirements, n.d.).
Commonly, copying data as part of data backup ensures that there is a recent version available for restoration in the case of a failure. Recovery is the process of bringing back data from these backups to keep operations running smoothly. Regular and high-quality backups help reduce data loss and downtime during unexpected events (Developing requirements for an IT system, n.d.).
For the MTC Hiring System, data backup and recovery are essential because the system stores sensitive information about applicants, such as personal details and hiring decisions. Losing this data could harm MTC’s operations and reputation. Having strong backup and recovery procedures means that in case of system failure or cyber-attack, MTC can quickly restore its system with minimal data loss, maintaining trust between applicants and employees (Information Systems Security, n.d.). This rapid recovery helps ensure that the hiring process continues smoothly without significant disruptions or delays.

The second benefit of using a software system is that it will allow the people who would typically be doing this manually to focus their efforts on matters that require manual labor. Saving time and resources for the employees as we as the company.
The three things the CIO and his team should look for as they consider which SaaS vendor to select is to ensure that the system is able to be manipulated in way that will best suite their needs. The system should be able to alter its processes based on the requirement that the company is looking for. Secondly, the SaaS should have a proper security protocol to prevent personal information from being stolen or wrongly used. The final aspect that should be considered is the user-friendliness of it. Workers will be required to learn and understand the system to manipulate it in the ways that they need.
