Scenario
The Liberty Hope Foundation (LHF) is a small nonprofit organization founded in 2010. The organization helps families of children with disabilities combat social stigmas, ease their financial burden, and find emotional support. In order to continue to serve the needs of the families they support, LHF wants to build a brand-new, state-of-the-art medical facility and community center to complement and expand on the services they currently provide. This facility will provide care for young adults over the age of 21 who are transitioning out of pediatric care. In order to build this facility, LHF is launching a capital campaign. The goal is to raise $5 million in 12 months in order to start construction on the new facility. To officially kick off the capital campaign, they are planning to hold a major launch event this time next year.
You are the communications manager for LHF and you are responsible for developing and implementing a strategic communication plan for the LHF capital campaign and launch event. You are also the project manager for this part of the campaign, and you are responsible for developing a project plan for the strategic communication plan and making sure it is executed successfully. It is also your responsibility to make sure the project is executed on time and within budget. Here are the key elements of the company that you need to take into consideration when developing the project plan:
Employees
Employees include the founder, the director of programs, the communications manager (you), and the administrative assistant.
Budget
You have an initial budget of $100,000.
As money from the fundraising initiative starts coming in, there is potential to add funds to the project.
Board of Directors
There are five members.
One member (not the chairman) has agreed to be the project sponsor and liaison to the board.
Directions
Your supervisor has asked you to create a project plan for creating the strategic communication plan in order to share it with the board of directors at their next meeting. The project plan will consist of three parts:
Project Scope and Outreach Plan
Summarize the project objectives and the overall scope needed to achieve the $5 million campaign goal.
Identify the project’s target audience and the stakeholders who will need to be kept informed as the project progresses. Be sure to provide a rationale for why the specific audience and stakeholders you identified are appropriate for the project.
Describe an outreach plan that details how you will reach the target audience. Make sure you include communication types and channels.
Define what metrics you will use to track progress and how you will measure and report results.
Project Timeline and Budget
Project Timeline
Define the key deliverables of the project and explain how these deliverables will help you achieve the overall project goal.
Outline the milestones and tasks for each key deliverable, providing a rationale for why you believe these milestones and tasks are appropriate for each deliverable.
Project Budget
Using your project timeline as a guide, list all of the resources with an associated cost for the project to serve as the items for your project budget.
Calculate the estimated costs for each item listed in your budget and the estimated total cost for the project.
Describe the types of unexpected expenses you may run into throughout the project and how you intend to cover these costs based on your current budget’s contingency fund.
Management Strategy
Project Team Management: Describe how you will keep track of project progress and any potential challenges you may face managing a team of people who do not report directly to you.
Provide a rationale for how you will handle problems that might arise, including how your management or communication style may help or hinder your efforts.
Project Stakeholder Management: Compose a management strategy for keeping internal and external stakeholders apprised of project progress so that they remain engaged and supportive of your efforts and of the project overall.
Describe how and when you plan to communicate project status and results to stakeholders. Include information such as reporting methods, timing and frequency, and any red flags that might trigger unplanned updates.
Explain how you will manage the performance of your project team members, especially since no one on the team reports directly to you.
Provide a rationale for why you believe this plan will contribute to your overall leadership of the project and its stakeholders.
Risk- and Issue-Management Process: Design a general process for resolving risks and issues that the development team identifies as they work on the project.
